What’s Been Going On Since April 2023?

Hi! This initial Blog post was written by the current Board of Directors. Quite a few of the Association’s members have commented to the Board as to how much better communication has been and that they thoroughly appreciate the transparency. Honestly, it makes us feel good because we have worked tirelessly on learning, fixing and righting the errors made in the past.

So, to communicate to you, honestly:  What’s been going on since April 2023? At a Board of Director’s meeting, with a quorum of members present, the then President of the Board was removed from the Board of Directors. Two Board members resigned at that meeting. At that meeting, the remaining Board member filled Board vacancies with three members. There were now four Board members. On 14, July 2023, one of the Board members resigned to return to school. There were now three Board members. Those members were: Yvonne Hillier-Gnecco, who became President; Donna Tauler, who became Vice President and Lisa Ralston, who became Secretary/Treasurer. After a notice was posted to fill the vacancies, on 12, September, Cleve Kingston volunteered to become a Board member and a vacancy was filled. On 28, November 2023, Donna Tauler resigned. Currently, there are the remaining three Board members.

Because of the abrupt removal of a Board member and the resignation of two of the Board members, there was no transfer of information. Since 14, July 2023 the following has been accomplished:

  • Reviewed and filed all pertinent documents. This was a daunting task. The Board has completed this work and the files for the last three years are correctly filed.
  • Shredded all documents not required for filing.
  • Reviewed all computer files, cleaned up the computers and created a workable file management system. There was no file backup system in place. We installed a backup drive and now all files at the end of each day are saved on the drive, in case of a computer hard drive crash.
  • Performed a full maintenance on the pool and opened it for the pleasure of the members. Maintenance began at the end of April 2023 and opened on 3, June 2023. The Health Department had condemned the pool in 2022 because there had been no regular performed maintenance. Once the new Board was in place, work was immediately started so the members could use the pool during season.
  • Created an up-to-date and accurate Roster of all members of the Association. Although there were many Roster files found, they were outdated with a lot of inaccurate information. We created an Excel database of all members and are now able to search, sort, print letters and labels for mailings and upload data into QuickBooks for invoice creation and batch printing. This database will save days of time!
  • Created a website that will provide the members with all the necessary information about the park. This includes a mission statement; a Board of Directors page; posted notices; the ability to download and print the CCRs, By-Laws, Rules and Regulations; Board and Membership Meeting Minutes; Budgets; P&L statements; a Blog and the ability to pay your monthly dues online.
  • Installed a Key Card system to gain entry to the game room, the pool and the Clubhouse.
  • Replaced the chain-link fence with a wrought iron fence.
  • Replaced the very old swamp cooler system with a heat pump system on the game room roof.
  • Installed safety railings on all ramps.
  • Removed the Goat Heads on The Greens, maintenance that had not been performed for a number of years.
  • Painted parking lines in the front of the Clubhouse and both sides of the mailboxes.

As a reminder to the membership, since less than five members wished to take a Director position on the Board, we are not required to hold an election at the Annual Membership Meeting that will be held on Saturday, 13, January 2024, starting at 1pm in the Clubhouse. The three members who processed the Candidacy Form to take a Board Director position will be your Board members from January 13, 2024-January 12, 2026. They are Yvonne Hillier-Gnecco, Lisa Ralston and Cleve Kingston.
